Information We Collect

Information you give us directly

When you use our contact form or get in touch by phone or email, we may collect:

  • Your name
  • Your email address
  • Your phone number (if you choose to provide it)
  • The content of your message or enquiry
  • Details about your family situation relevant to our services, where you share these voluntarily

Information collected automatically

When you visit our website, certain technical information is collected automatically through cookies and standard web server logs. This includes your approximate location (country or city level), the type of browser and device you use, pages visited, and the time of your visit. We do not collect precise location data.

Information we do not collect

We do not collect sensitive personal data such as health records, financial account details, or identification documents unless you choose to include these in a message to us. If you do share sensitive information, we treat it with particular care.

How We Use Your Information

We use the information we collect for the following purposes:

  • Responding to enquiries — to reply to your questions and discuss how our services might suit your household.
  • Arranging and delivering services — to organise companion visits, coordination sessions, or technology support once an arrangement is agreed.
  • Service-related communications — to send you updates, visit notes, or other information directly relevant to the service you have arranged.
  • Improving our website — to understand how visitors find and use the site, so we can make it more useful.
  • Complying with legal obligations — to meet requirements placed on us by Malaysian law.

We do not use your personal information for unsolicited marketing. If we ever wish to send you updates or news about Teman, we will ask for your permission first, and you can withdraw that permission at any time.

5

Sharing with Third Parties

We do not sell or rent your personal information to third parties. We may share it in the following limited circumstances:

  • Service providers — we may use third-party tools (such as email or analytics services) that process data on our behalf under data processing agreements. These providers are bound by confidentiality obligations and may not use your data for their own purposes.
  • Analytics — we use analytics tools (such as Google Analytics) to understand website usage in aggregate, anonymised form.
  • Legal requirements — if required by a Malaysian court, regulator, or government authority, we may disclose information to comply with a legal obligation.

Where we share personal data with third-party processors, we take reasonable steps to ensure they apply appropriate data protection standards.

6

How Long We Keep Your Data

We keep personal information only for as long as it is needed for the purpose it was collected. In general:

  • Enquiry records where no service was arranged: up to 12 months, then securely deleted.
  • Records relating to an active service arrangement: kept for the duration of the arrangement and for up to 3 years afterwards, in case of follow-up questions or disputes.
  • Financial records (where applicable): kept for 7 years in accordance with Malaysian tax and accounting obligations.
  • Website analytics data: retained in aggregate form for up to 26 months, as per standard analytics configurations.

When the retention period ends, we delete or anonymise the data securely.

7

Security Measures

We take reasonable technical and organisational steps to protect personal data from unauthorised access, loss, or misuse. These include:

  • Secure, encrypted connections (HTTPS) for all web traffic.
  • Access to personal data restricted to staff members who need it to carry out their responsibilities.
  • Regular review of how data is stored and handled within the organisation.

No method of transmission over the internet is completely secure. If you believe your personal information has been compromised in connection with Teman, please notify us immediately at [email protected] and we will investigate promptly.

In the event of a data breach that is likely to result in significant harm, we will notify affected individuals and, where required by Malaysian law, the relevant authorities, without undue delay.
